How Healthcare4Kids Services Ltd collects, uses and protects information about you and your child.

Who we are

Healthcare4Kids Services Ltd is a private children's clinic based at Supersonic House, 23 Adelaide Road, Leamington Spa, CV31 3PD. We are the data controller for the information described in this policy. You can contact us on 01926 624 235 or at admin@healthcare4kids.co.uk.

Information we collect

  • Contact details you give us through the enquiry form, by email or by phone, such as your name, email address and telephone number.
  • Information about your child, including name, date of birth, developmental history and the concerns you would like assessed.
  • Health records created during care, including clinical notes, questionnaires, school reports, assessment results and letters.
  • Correspondence with your GP, your child's school and other professionals involved in their care, where you have agreed to this.
  • Billing information needed to take payment and issue invoices.
  • Basic technical information about your visit to this website, such as pages viewed, used to keep the site working and improve it.

Why we use it and our legal basis

Health information is special category data under UK GDPR. We process it to provide healthcare to your child under Article 6(1)(f) and Article 9(2)(h) of the UK GDPR, and in line with our duty of confidentiality as clinicians.

We use contact details to reply to enquiries and arrange appointments, billing details to take payment, and we keep records to meet our legal and regulatory obligations, including those of the Care Quality Commission and the General Medical Council.

We only send marketing or newsletter emails where you have asked us to, and you can stop them at any time.

Who we share it with

We do not sell your information. We share it only where it is needed for your child's care or where the law requires it.

  • Your GP and, with your agreement, your child's school or other treating clinicians.
  • Service providers who support the clinic, such as our secure record system, email provider and payment processor, under written contracts.
  • Regulators, insurers or other authorities where we are legally required to disclose, including where a child may be at risk of harm.

How long we keep it

Children's health records are kept in line with NHS records management retention guidance, which is normally until the child's 25th birthday, or their 26th birthday if the record was made when they were 17. Enquiry correspondence that does not lead to care is kept for a shorter period and then deleted.

Keeping information secure

Records are held on access-controlled, encrypted systems. Only the staff involved in your child's care or the running of the clinic can see them, and access is logged.

Your rights

To make a request, email admin@healthcare4kids.co.uk or write to us at the clinic address. We will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

  • Ask for a copy of the information we hold about you or your child.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete information, where we are not required to keep it.
  • Object to or ask us to restrict certain uses of your information.
  • Withdraw consent where we relied on it, for example for marketing emails.

We review this policy regularly and will publish any updates on this page with a new date.
